WhatsApp delivery updates: 4 checks
WhatsApp delivery notifications mean your system tells customers their order has left, when it will arrive and who received it, but it sends nothing until 4 checks pass: the load matches the confirmed order, the arrival time comes from the driver's actual route, the message goes to the number registered for the receiving branch, and "delivered" goes out only with proof of receipt. This lesson follows the order confirmation checks: the order is confirmed and the stock reserved, and now the truck leaves. For handling cash with the driver, see delivery drivers: 6 messages to balance the cash.
Why a wrong notification hurts more than none
A customer who gets no notification calls and asks. A customer who gets "your order is on its way" before the truck is loaded, or "delivered" when nothing arrived, stops trusting every message you send. Automatic notifications are worth switching on only if everything they say is true at the moment they are sent.
A case from the floor
Illustrative example: the same food supplier serving 120 restaurants confirmed 55 orders in a week and switched on automatic delivery notifications. The system sent 48 as written and held or reworded 7.
Three orders were loaded short because an item was not fully in stock, so the system said what would arrive today and what would come later. Two drivers ran past the announced window, so a delay message with a new time went out before the window closed. One branch had changed its receiving person's number, so the system did not message the new number until the registered number approved it. One driver tapped "delivered" before anyone had received the goods, so nothing went out until the proof was complete.
Four checks before every notification
- The load matches the order. "Out for delivery" is sent only after the warehouse records the loaded quantities and the system matches them with the confirmed order. If an item is short, the message says so with a date for the rest.
- The time comes from the actual route. The arrival window is based on the order's place in the driver's trip, not a fixed promise. If the driver passes the window, the system sends a new time before it closes, not after.
- The right recipient. The message goes to the number registered for the branch or account, with the driver's name and number. A new number gets no order details until the registered number approves it.
- "Delivered" needs proof. An order closes only with the receiver's name plus a signature, a photo or a code sent to the customer. Any shortage or damage is recorded on the spot and passed to sales before the invoice is issued.
What the system sends in each case
| Case | What the system does |
|---|---|
| Full load that matches | Sends "out for delivery" with the window and driver's name |
| An item short on the truck | States what arrives today and when the rest follows |
| Driver late for the window | Sends a new time before the window closes |
| Receiver's number not registered | Asks the registered number to approve first |
| "Delivered" without proof | Sends nothing and asks the driver to complete the proof |
| Shortage or damage at receipt | Records it and passes it to sales before the invoice |
The conversation as it happens
On Tuesday morning the restaurant's receiving person gets:
System: Your order 2218 is out for delivery: 20 cartons of oil and 15 bags of rice. Arriving between 9 and 11 am at the Olaya branch. Driver: Khalid.
System: Order 2218 delivered at 10:20, received by Saad. We recorded one damaged carton; a replacement comes with your next delivery.
And the owner asks at noon:
Owner: How are deliveries going today?
System: 14 of 18 orders delivered. 3 are on the way within their window, and one is late; I sent that customer a new time of 2 pm. Send details?
This is what running the business from WhatsApp adds: load, trip and receipt in one place, so no notification contradicts what is in inventory.
Checklist before you switch on delivery notifications
- The first notice is tied to recording the load, not a manual status change?
- The window is based on the driver's trip, and the delay message goes out before it closes?
- Every notice goes to the number registered for the receiving branch?
- Proof of receipt is required before "delivered"?
- A named person follows up shortages and damage the same day?
