WhatsApp payment receipts: 4 checks
The WhatsApp payment reminder lesson ended with the customer's reply: "I transferred it." This lesson starts there. If your system sends payment receipts on WhatsApp automatically, each one goes out only after 4 checks: the money reached your account and was matched; the system knows which invoice it settles and what remains; the receipt goes to the account's registered number; and its details are correct, with no earlier receipt for the same payment. A wrong receipt is worse than a late one, because the customer will rely on it later.
A case from the floor
Illustrative example: a spare parts distributor sells on credit to 60 workshops and automated its WhatsApp payment receipts, which the accountant used to write and photograph. In week one the system recorded 52 payments, sent 46 receipts and held back 6.
Those six are the lesson. Two workshops sent transfer screenshots not yet on the bank statement. Two payments matched no open invoice. One was an uncleared cheque. And one message came from a number not registered on the account. Had all six gone out, customers would hold receipts for money that never arrived, or allocated differently from your books: a dispute you pay for at year end.
Four checks before a payment receipt goes out
- The money arrived and is matched. A customer's screenshot is not a payment. The receipt is issued when the amount is in your bank and matched, as in bank reconciliation, or when a cashier or sales rep records cash actually received. A cheque is recorded as "pending collection" and gets no final receipt until it clears.
- The allocation is clear. Every payment settles one or more specific invoices. A partial payment shows what was paid and what remains; an overpayment shows the excess as customer credit. If it matches no invoice, the receipt stops and the accountant decides; the system never guesses.
- The right number. The receipt goes to the number registered on the account to receive financial documents, as in the customer statement checks. Someone else may pay for the workshop; the receipt still goes to the account holder, not whoever sent the message.
- Correct details, one receipt. Sequential number, amount, payment method, date and invoice numbers. One receipt per payment: if the customer resends the same screenshot, no second receipt is issued. If a cheque bounces or a payment is reversed, a cancellation message quotes the receipt number.
What the system does, case by case
| Case | What the system does |
|---|---|
| Transfer screenshot, no amount in the bank yet | Acknowledges the screenshot, sends the receipt after matching |
| Cheque received | Records it as pending collection, final receipt after it clears |
| Partial payment | Receipt for the amount paid, with the balance left on the invoice |
| Amount matches no invoice | Holds the receipt and sends it to the accountant to allocate |
| Message from an unregistered number | Sends the receipt to the registered number only |
| Bounced cheque or reversed payment | Cancellation message quoting the receipt number |
When the customer sends a transfer screenshot
A workshop sends a transfer screenshot from its registered number:
Customer: Here is the transfer for this month's invoice
System: We have received the screenshot, thank you. Your receipt will arrive here as soon as the amount shows in our account, and you will get no reminder for this invoice until then.
After matching, this arrives:
System: Receipt no. 1045: we received SAR 8,000 by bank transfer for invoice 2210. The balance on the invoice is SAR 2,400.
And the owner asks in the evening:
Owner: How many receipts went out today?
System: 11 receipts, all for matched amounts. I held back 2: a payment that matches no invoice, now with the accountant, and a cheque pending collection. Send the details?
No receipt was written by hand, and none went out for money that had not arrived. That is what WhatsApp invoicing adds: the payment, the receipt and the invoice are linked in one place, and the four checks run with every payment.
Checklist before switching on automatic receipts
- Is the receipt issued from bank matching or recorded cash, not a screenshot?
- Do cheques have a "pending collection" status separate from collected?
- Does a payment that matches no invoice go to a named person?
- Does each account have a number registered to receive financial documents?
- Are receipt numbers sequential, is there one receipt per payment, and is a cancellation message ready?
