Confirm WhatsApp orders: 4 checks first
Confirming orders on WhatsApp means your system locks in a customer's order and sends it to the warehouse only after 4 checks: an explicit yes from the registered number to a written summary; an order that matches the live quote with no changes; stock reserved in the customer's name with a written date and address; and payment terms and credit limit checked again at the moment of confirmation. It follows the quote checks: the quote went out, the customer replies, and the question is when that reply becomes an order. See also field sales: from visit to order.
Why "ok" or a thumbs-up is not enough
The Saudi Civil Transactions Law, Article 33, allows offer and acceptance by anything showing intent, including writing, explicit or implicit. Article 37 says silence is not acceptance unless an agreement or a sign, such as previous dealings, shows otherwise. So a WhatsApp message can fix an order, but a vague reply or no reply invites a dispute: have the system ask for an explicit answer to a specific summary. In special cases, ask your legal adviser.
A case from the floor
Illustrative example: a food supplier serving 120 restaurants sends all its quotes on WhatsApp and automated order confirmation. In week one, 64 replies came in: the system confirmed 55 orders and held 9.
Those nine are the lesson. Three were a thumbs-up or "fine" with no quote number, so the system asked directly. Two changed the quantity and became new quotes. Two were short because another order took the stock first. One customer had passed the credit limit since the last delivery. One came from a new employee's number not on the account. Confirmed, those nine would have sent out goods nobody clearly ordered.
Four checks before an order is confirmed
- An explicit yes to a written summary. The system sends a summary with the quote number, items, quantities, total and date, and asks for a clear reply such as "yes" or a confirm button. A thumbs-up, silence or a reply to an old message confirms nothing; the system asks once, then passes it to sales.
- The order matches the live quote. Items, quantities and price are as quoted, and the quote has not expired. Any change in the reply becomes a new quote at today's price, never a silent edit.
- Stock reserved, date and address written. At confirmation the system reserves the quantity in the customer's name, so no other order can take it. The date and address go into the confirmation message.
- Payment terms checked again. Credit limits and balances change after the quote, so the system rechecks them; a customer over the limit is offered cash or a deposit, and the accountant is told.
What the system does in each case
| Case | What the system does |
|---|---|
| Thumbs-up or "fine" | Sends the summary and asks for an explicit "yes" |
| No reply within the quote period | Confirms nothing; sends one reminder before it expires |
| Quantity or item changed | Issues a new quote with a revision number |
| Stock no longer available | Confirms what is available, passes the rest to purchasing |
| Customer over the credit limit | Offers cash or a deposit and tells the accountant |
| Number not on the account | Asks the registered number to approve first |
The conversation as it happens
After the quote, a restaurant owner replies from the registered number:
Customer: 👍
System: To confirm: quote 734, 20 cartons of oil and 15 bags of rice, total SAR 4,850, delivery Tuesday morning to the Olaya branch. Reply "yes" to place the order.
Customer: yes
System: Order 2218 is confirmed and the stock is reserved for you. Delivery Tuesday morning.
And the owner asks in the evening:
Owner: How many orders were confirmed today?
System: 11 orders worth SAR 38,400. I held 2: a customer over the credit limit, and a reply with a quantity change that got a new quote. Send details?
This is what running the business from WhatsApp adds: reply, quote and account in one place, and the reservation happens in inventory at confirmation, not at picking.
Checklist before you switch on automatic confirmation
- One explicit confirmation format customers know, such as "yes" or a button?
- Every confirmation tied to a live quote number, not the last message in the chat?
- Stock reserved at confirmation, and released if the order is not confirmed?
- Credit limit checked at confirmation, not only at quoting?
- A named person who handles held orders the same day?
