Wedding Hall Management: 7 WhatsApp Messages
Wedding hall management software must answer three questions every morning: which nights ahead are booked and which are open; who paid a deposit, when their withdrawal deadline ends and what they still owe; and what each event made after catering, workers, cleaning and power. Seven WhatsApp messages to Fahim from the manager, clerk or supervisor, each quoting the event date, answer all three without a new screen. It suits a single hall run today from a notebook and the manager's phone.
The rule: one night, one booking, one contract
A hall sells nights that never come back; an empty or double-booked night is lost. Six fields per booking:
- Event date and section: men's, women's or both.
- Customer and mobile number.
- Guests and package: hall only, or with catering, kosha stage and photography.
- Price before VAT: deposit, second payment, balance before the event.
- Withdrawal deadline, and the deposit's fate after it.
- Outside suppliers and what each is paid.
Request other fields in Arabic; Fahim applies them on your approval. It is operations management from WhatsApp, night by night.
Deposits under the Civil Transactions Law
Umm Al-Qura published the Civil Transactions Law on 19 June 2023; it took effect 180 days later. Article 44: a deposit paid at contract gives the payer alone the right to withdraw, forfeiting it, unless agreed otherwise. With no agreed period, the court sets one by custom and circumstances. The payer's silence until the period ends, or failure to perform within it, counts as withdrawal. So state a dated deadline, the payment due before it, and what happens if the hall cannot host the event. This is a reading, not legal advice; have a lawyer review your contract. What the event hall requirements say
On 27 November 2025 the Ministry of Municipalities and Housing announced the Requirements for Event and Exhibition Halls (1446 AH / 2025). They include Civil Defense approval before the municipal licence and no operating after it expires; periodic and preventive maintenance of AC, lighting, gas, drainage and electrical lines; a documented contract with a food-preservation (Hifz Al-Ni'ma) association for surplus food; a health certificate for every food handler, staff or contractor; and electronic payment that may not be refused. Fahim is not linked to Balady or Civil Defense; it stores expiry dates and Moeen, its personal assistant, reminds you. Check later updates with your municipality.
Seven messages from booking to after the event
1. The booking
The clerk writes: "Booking 12 February, both sections, 400 guests, SAR 35,000 before VAT, deposit 10,000, withdrawal deadline 12 December." Fahim warns you if the night is taken; Moeen prepares the quote for review.
2. The deposit
The clerk sends the receipt: "Deposit, 12 February, SAR 10,000." Fahim reads the amount, the tax invoice is issued from WhatsApp, and the balance stays visible. A late deposit shows in the morning summary, so you confirm the booking or release the night.
3. The withdrawal deadline
A week before the deadline, Moeen reminds you of it and of any missing second payment. When it arrives: "Second payment for 12 February, SAR 15,000." If it passes with no payment or reply, apply your contract and record the decision in one message: the night reopens or stays booked.
4. Package and suppliers
Requests change: "12 February: add photography at SAR 3,000; guests now 450." Price and balance update. Each supplier is charged to that booking, not to overheads.
5. Event night
The supervisor then sends one line with photos: "12 February ended at 1 am, 8 extra workers, 4 chairs broken, surplus handed to Hifz Al-Ni'ma." Wages go to the event, damage is logged with photos, and the handover is on record.
6. Maintenance and licences
The manager writes: "AC maintenance done today, invoice SAR 2,400, next visit in 3 months." It is logged, and Moeen reminds you before the next visit. Likewise licence, health-certificate and contract expiry dates, so nothing lapses before an inspection.
7. Event margin and month-end
Ask: "What did 12 February make?" A hypothetical example for illustration only: price SAR 38,000 with photography, less catering 12,000, photographer 2,200, extra workers 1,600, cleaning 1,200 and an estimated 2,000 for power and water. Margin: SAR 19,000 before salaries and rent. At month-end Moeen puts every event in one report.
Notebook and phone vs structured messages
| Notebook and phone | Messages |
|---|---|
| Night booked twice | Alert on entry |
| Deadline forgotten | Reminder a week before |
| Supplier costs off the books | Charged to the event |
| Maintenance on loose papers | Logged with its invoice |
Four numbers after one month
- Booked and open nights over the next three months.
- Deposits and payments collected, and each booking's balance.
- Margin per event after its direct costs.
- The most requested and most profitable packages.
Moeen's morning summary covers this week's events, near deadlines, payments due and maintenance.
How to start this week
- Send current bookings, amounts and deadlines as an Excel file.
- Two rules: no night booked without a message and a written contract; no event closed without the supervisor's line.
- Set roles: the clerk records bookings and payments, not profit. Quote the event date, not the customer's name; customer data is held in trust.
The takeaway: a wedding hall sells nights that never come back. Seven messages quoting the event date record deposit, deadline, payments, suppliers and maintenance, so you know open nights, what each booking owes and what each event makes.
