Serviced Apartment Management: 7 WhatsApp Messages

Serviced apartment management software has to answer three questions every morning. Which unit is occupied, which is ready, and which awaits cleaning or repair? Has every deposit and platform payout arrived? And what did each unit earn after commission, cleaning and power? Seven WhatsApp messages to Fahim from the front desk or the cleaner, each naming a unit, answer all three without a new screen. The method suits owners running a few furnished apartments or a small building.

The rule: every night has one status

You account by the night. Each night in each apartment is sold, available, or blocked for repairs or private use. Five fields per apartment:

  • Apartment and building number.
  • Type: studio, one bedroom or larger.
  • Nightly rate, and a weekend rate if different.
  • Status today: occupied, ready, needs cleaning or blocked.
  • Channels: direct, or a named booking platform.

Each stay links to its apartment: dates, nights, channel, amount, deposit and any security deposit. A monthly rental is a long stay counted the same way. Request these fields in Arabic; Fahim shows the change and applies it once you approve, leaving past data intact. It is running operations from WhatsApp, except the item is a night: unsold, it is gone.

Licensing and Shomoos: rules and platforms

Since 1 January 2025, the Ministry of Tourism has barred booking platforms and apps from listing unlicensed hospitality facilities, warning that operating unlicensed can bring fines of up to SAR 1 million, closure, or both. Lodging facilities, including furnished apartments, register guest data in Shomoos, the Ministry of Interior's security system. Fahim is not connected to platforms, Shomoos or the ministry's portal; you complete those there, while Fahim stores your licence expiry and Moeen, its personal assistant, reminds you before renewal. Requirements are at mt.gov.sa. Saudi Press Agency report: https://www.spa.gov.sa/N2236283

Seven messages from booking to month-end

1. Booking

The front desk writes: "Booking, apartment 3, 12 to 15 October, 3 nights, SAR 350 a night, direct." Fahim records the stay and warns you if the unit is already booked on those dates. Platform bookings arrive the same way. Since Fahim is not connected to platforms, close the dates there once a direct booking is confirmed.

2. Deposit

The clerk sends "Deposit, apartment 3, SAR 300 transfer" with the receipt photo. Fahim records it against the stay, and the balance is due at check-in. A direct booking with no deposit by your deadline shows in the morning summary, so you cancel or chase it before losing a sellable night.

3. Check-in

On arrival: "Check-in, apartment 3, Shomoos done, SAR 750 balance in cash." The unit turns occupied, the balance is recorded and the invoice is issued from WhatsApp. Keep only what booking and payment need, such as name and mobile, and never post ID photos in WhatsApp groups: the Personal Data Protection Law covers guests' data.

4. Checkout and cleaning

"Checkout, apartment 3" marks the unit "needs cleaning". The cleaner then sends "Apartment 3 ready" with room and bathroom photos, and it becomes available. No apartment goes to a new guest before its cleaning is confirmed.

5. Damage and security deposits

A cleaner who finds something broken or missing sends a photo with the unit number, filed under the stay that just ended. Deduct from the security deposit or refund it; for a platform booking, use the platform's claims process. The evidence stays with the stay, not on a worker's phone.

6. Maintenance

"Apartment 5 AC not cooling" becomes a work order with an owner and a status, and the unit stays blocked until the technician sends "fixed" with the cost. The cost lands on that unit, showing which apartment spends more on repairs than it earns.

7. Platform payouts and month-end

For each platform payout, the manager sends the amount and statement, in Excel if available. Fahim matches it to that platform's bookings; the gap to booking totals is commission and fees. Then ask: "What did apartment 3 net in October?" A hypothetical example for illustration only: 22 of 30 nights sold is 73% occupancy and SAR 7,040 income, minus SAR 600 commission, 12 cleanings at SAR 80 (SAR 960), SAR 750 for power, water and internet, and SAR 200 maintenance, leaving SAR 4,530 net.

Four numbers after one month

  • Occupancy per unit: nights sold divided by nights available.
  • Average rate per night sold, per unit and channel.
  • Net per unit after commission, cleaning, utilities and repairs.
  • Deposits and balances not yet collected.

Moeen opens your day with arrivals, departures, units awaiting cleaning and late deposits. Ask about any figure in Arabic for an instant report.

How to start this week

  • Send your apartment list and current bookings as an Excel file.
  • Hold two rules: no booking without a message, and no handover before a "ready" message with a photo.
  • Set permissions by role: the front desk logs bookings and payments, cleaners send status, and neither sees profit reports.

The takeaway: a furnished apartment is run by the night, even when rented for a month. Seven messages naming the unit show each unit's occupancy and net before month-end.
