Training Center Management: 7 WhatsApp Messages

Training center management software must answer three questions every morning. How many trainees registered for each course, and who still owes part of the fee? Who attended, and who completed enough hours for a certificate? And what did each course make after the trainer's fee, hospitality and printing? Seven WhatsApp messages to Fahim, sent by reception or the trainer and each naming the course, answer all three without a new screen. It suits small private training centers that run short courses on Excel and a WhatsApp group today.

The rule: every trainee is tied to a course and a fee

A training center sells seats; a seat not tied to a payment and attendance loses its money or its certificate unnoticed. Six fields per course:

  • Course name and approval number.
  • The trainer approved for it.
  • Dates and number of hours.
  • Number of seats.
  • Fee before VAT, paid in full or in two instalments.
  • Venue: the center's premises or another organisation's.

Each trainee has a payment and attendance record, and each trainer an approval expiry date. Request fields in Arabic; Fahim shows the change and applies it once you approve, leaving past data intact, as with Arabic cloud accounting.

What the Technical and Vocational Training Corporation requires

On 9 July 2021 Umm Al-Qura published the Executive Rules and Procedures of the Private Training Regulation, sixth version. A training center offers development courses only: no longer than one month and no more than 60 hours. A licence lasts five years; renewal is filed at least three and at most six months before expiry. No trainer may start before the Corporation approves them, and adverts carry the licensed name and approval number. The owner must explain all costs to a trainee before registration, and failing to keep the database needed to run the facility, or gaps in trainee and trainer files, triggers a notice. Fahim is not connected to the Corporation's portal; you handle licences, approvals and certificates there, while Moeen, Fahim's personal assistant, reminds you of expiry dates. Check any later amendment with the Corporation. Rules text: https://www.uqn.gov.sa/details?p=17921

Seven messages from course launch to month-end

1. Opening a course

The manager writes: "Excel for accountants, 20 hours over five days, 20 seats, fee SAR 1,200 before VAT." Moeen drafts the advert with the licensed name and approval number for review, and publishes nothing without your approval.

2. Registration and payment

Reception sends "New trainee, Excel, paid SAR 600, balance on day one" with the receipt photo. The trainee is enrolled, the tax invoice is issued from WhatsApp, and the balance stays visible under their name. Before registration, Moeen drafts a message stating the full fee.

3. A course for a company's staff

The manager writes: "A company wants customer service training for 12 staff at its offices, SAR 9,000 on completion." Moeen prepares the quote for review and records the amount as owed. Training outside the premises needs the Corporation's prior approval, with a fee in the rules of SAR 1,000 each time, so Moeen reminds you to request it.

4. Daily attendance

Each evening the trainer sends one line: "Excel day two: two absent" with their names. Attendance is a field you add on request, and it builds up per trainee. Without it you cannot tell at the end who completed the hours.

5. Course expenses

Each receipt is sent as a photo with the course name: trainer fee, hospitality, printed handouts or a hired room. It is charged to that class, not overheads, so its true cost shows.

6. Course end

The manager writes: "Excel finished." Moeen sends two lists: who completed attendance and paid in full, and who still owes hours or money. Certificates follow your usual process and the Corporation's instructions, so you never learn after handover that someone did not pay.

7. Course margin and month-end

Ask: "What did Excel make?" A hypothetical example for illustration only: 18 trainees at SAR 1,200, or SAR 21,600. The trainer's fee is 20 hours at SAR 300, or SAR 6,000, and hospitality and printing SAR 1,800, leaving a margin of SAR 13,800 before rent and salaries. Collected: SAR 20,400; the remaining SAR 1,200 is owed by two trainees who each paid half.

Four numbers after one month

  • Collected and outstanding per course and per trainee.
  • Seat occupancy for each class.
  • Margin per course after the trainer's fee and direct expenses.
  • The most-booked titles to repeat next month.

Moeen opens your day with this week's classes, late payers and expiring approvals. Ask about any figure in Arabic for an instant report.

How to start this week

  • Send your upcoming schedule and registrations as an Excel file.
  • Hold two rules: no registration without a message and a payment, and no training day without an attendance line.
  • Set permissions by role: trainers log attendance without seeing fees or profit; reception records registrations and payments and cannot change prices.

The takeaway: a training center sells seats in short courses. Seven messages naming the course show what is collected, what is owed, who earns a certificate and what each course makes.
