Engineering Office Management: 7 WhatsApp Messages

Engineering office management software must answer three questions every morning. Which stage is each project at: design, permit or supervision? Which payment fell due with a delivered stage but has not arrived? And how many engineer hours went into each project against its fee? Seven WhatsApp messages to Fahim, each naming the project, answer all three without a new screen. It suits small design and supervision offices of two to fifteen engineers now running on Excel and a WhatsApp group.

The rule: every delivered stage triggers a payment

An office sells engineers' time in stages; when stages are not tied to payments, collection slips unnoticed. Six fields per project:

  • Client and project type: residential, commercial or industrial.
  • Service: design, supervision, or both.
  • Contract value before VAT and the payment schedule, tied to stages.
  • Current stage: concept, architectural, structural and MEP, permit, supervision.
  • Lead engineer and contributing engineers.
  • District or plan number.

Each engineer has a specialty, professional grade and accreditation expiry. Request fields in Arabic; Fahim shows the change and applies it once you approve, leaving past data intact. It is the consultancy example on the Arabic cloud accounting page, applied per project.

Accreditation and licensing: what the rules say

The Executive Regulation of the Engineering Professions Practice Law, published in Umm Al-Qura on 29 December 2023, defines professional accreditation as registration with the Saudi Council of Engineers plus a professional grade: Engineer, Associate Engineer, Professional Engineer or Consultant Engineer. Offices are licensed by the ministry, named in the text as the Ministry of Municipal and Rural Affairs and Housing, against standards set by the Council, which also sets accreditation periods and renewal. An office licence is cancelled if ten years pass without renewal. Fahim is not connected to the Council, Balady or the ministry; you handle those there, while Fahim stores the expiry dates and Moeen, its personal assistant, reminds you in time. Seven messages from quote to month-end

1. Quote

The office manager writes: "Quote, villa design in Al-Malqa, SAR 45,000 before VAT, four payments: 30% at signing, 30% with the architectural plans, 30% with structural and MEP drawings, 10% with the permit." Moeen prepares it for review and sends nothing without your approval. Once accepted, it becomes a project with its schedule.

2. First payment

The accountant sends "First payment, Al-Malqa villa, SAR 13,500 transfer" with the receipt photo. It lands on the project and the tax invoice is issued from WhatsApp. The other three payments wait on stages, not calendar dates.

3. Engineers' hours

At day's end each engineer sends one line: "4 hours architectural, Al-Malqa villa; 2 hours supervision, Al-Sulay warehouse." Hour logging is a field you add on request. Those hours are the office's real cost; without them you cannot tell which project consumed the team's time.

4. Stage delivery

The lead engineer writes: "Delivered the architectural plans for Al-Malqa villa; client approved." The project moves on, the second payment falls due, and Moeen prepares its invoice and request for review. Every delivery has a date, every payment a reason.

5. Site supervision visit

After each visit the supervising engineer sends photos and a note: "Al-Sulay warehouse, ground floor slab poured, note on concrete cover for column rebar." They are filed on the project by date, ready when you write the supervision report your usual way, not lost on a phone. For a monthly supervision contract, say SAR 6,000, Moeen reminds you to invoice on the 1st.

6. Project expenses

Each project receipt is sent as a photo with the project name: plot printing, an outside lab's soil test, a freelance engineer's fee. It is charged to that project, not overheads, so each project shows its true cost.

7. Project margin and month-end

Ask: "What has Al-Malqa villa made so far?" A hypothetical example for illustration only: a SAR 45,000 fee; 180 engineer hours at an internal cost of SAR 120 an hour (salaries and overheads divided by working hours), or SAR 21,600; SAR 3,400 in direct expenses; an expected margin of SAR 20,000. Collected: SAR 27,000; the remaining SAR 18,000 waits on two undelivered stages.

Four numbers after one month

  • Collected and outstanding per project, and any payment due on a delivered stage.
  • Each engineer's hours by project.
  • Margin per project after hours and direct expenses.
  • Stages running past their agreed dates.

Moeen opens your day with this week's deliveries, late payments and expiring accreditations. Ask about any figure in Arabic for an instant report.

How to start this week

  • Send your current projects and payment schedules as an Excel file.
  • Hold two rules: no stage delivered without a message, and no site visit without a photo and a note.
  • Set permissions by role: engineers log hours and visits without seeing fees or profit; the accountant records payments and cannot edit contracts.

The takeaway: an engineering office sells time in stages. Seven messages naming the project show what is collected, what is late and what each project earns before it closes.
