A customer statement of account is a single table showing everything between you and one customer over a set period: the opening balance, then every invoice, payment and return with its date, then the balance they still owe. It needs 7 columns so the customer can read it without calling you: date, transaction type, document number, description, debit, credit and balance. The formula never changes: opening balance + invoices − payments and returns = balance due. Send it to every credit customer at least once a month, and keep your copy for 10 years under the Saudi Commercial Books Law. Below is the template with a worked example, when to send it, and how to pull it from WhatsApp with one message.

What is a customer statement of account, and how is it different from an invoice?

An invoice proves one sale: this customer bought these goods from you for this amount on this day. A receipt voucher proves one payment. A statement of account proves no new transaction at all. It gathers the invoices, vouchers and returns in one place and calculates the difference between them. It is a picture of the whole account, not one of its papers.

That is why anyone who sells on credit or collects in stages needs one: a building materials shop supplying a contractor over several weeks, a food wholesaler delivering to grocery stores, a maintenance company with monthly contracts. Without it, the customer asks "how much do I owe?" and the accountant answers after an hour of searching, or the two sides disagree because each one is counting from their own book.

What columns should a customer statement of account template include?

The header carries 4 details: the customer's name as it appears on the invoices, their account number with you, the period from one date to another, and the date the statement was issued. Then comes the table with its 7 columns:

  1. Date: the date of the transaction itself, not the date it was recorded if that was later.
  2. Transaction type: invoice, receipt voucher, return, or an agreed discount.
  3. Document number: the invoice or voucher number, so the customer can match it with their own papers without asking.
  4. Description: a short note such as "Steel delivery, Al Narjis project" or "Bank transfer".
  5. Debit: anything that increases what the customer owes, usually invoices.
  6. Credit: anything that reduces it: payments, returns and discounts.
  7. Balance: the running balance after each line, so the customer sees exactly where the amount changed.

Here is the October statement for a customer who buys on credit:

DateTypeDocumentDescriptionDebitCreditBalance
1 OctOpening balance—Carried from September——8,000
4 OctInvoice1302Steel and cement delivery12,000—20,000
10 OctReceiptR-0431Bank transfer—10,00010,000
15 OctReturnRT-005820 bags of cement returned—5009,500
22 OctInvoice1347Block delivery6,500—16,000
28 OctReceiptR-0459Cash—4,00012,000

How do I calculate the balance on a customer statement?

Start with the opening balance, which is the closing balance of the previous statement, then add the debit column and subtract the credit column. In the example: 8,000 + (12,000 + 6,500) − (10,000 + 500 + 4,000) = SAR 12,000. That figure must equal the running balance on the last line. If the two differ, a transaction was recorded twice or dropped.

Under the table, add a line splitting the balance by age, because both the customer and your accountant care which part of the debt is old. In the example, invoice 1302 has been almost fully settled by the payments and the return, so most of the balance comes from the 22 October invoice, a debt less than 30 days old. The usual buckets are under 30 days, 31 to 60, 61 to 90, and over 90 days. This split is the basis of the receivables follow-up we explain in our guide to collecting receivables.

When should I send a statement of account to a customer?

No law sets a date for sending a statement of account, but the most useful habit is to send one in 3 situations:

  • At the start of every month: to every credit customer with a balance, even if they did not ask. A regular statement reminds the customer of their debt without an awkward demand message.
  • Before any demand for payment: do not ask for an amount before the customer sees how you reached it. Most disputes end once both sides look at the same table.
  • At year-end close: ask your larger customers to confirm the balance as it stands in your statement. If their figure differs from yours, look for the differing transaction now, not a year later.

Is a statement of account sent over WhatsApp legally valid?

The statement itself summarises other documents, so its strength comes from the invoices and vouchers whose numbers it lists. But sending it, and the customer's digital reply, does carry evidential weight. Article 53 of the Saudi Law of Evidence defines digital evidence as any evidence derived from data created, issued, received or stored by digital means that can be retrieved. Article 54 lists digital correspondence and means of communication among its types, and Article 55 states that proof by digital evidence carries the same weight as proof in writing. So a customer's message replying to your statement that "the balance is correct" is far stronger than a verbal agreement.

These messages carry more weight if your contract with the customer states that statements and notices are sent over WhatsApp from the business's registered number, because Article 57 makes digital evidence binding on the parties when it comes from a digital means specified in their contract. This is a general reading of the text, so consult a lawyer in any live dispute.

As for record keeping, Article 6 of the Commercial Books Law requires a merchant to keep a copy of all correspondence and documents related to their trade, sent and received. Article 8 sets the period at a minimum of ten years, and Article 12 sets a fine of SAR 5,000 to SAR 50,000 for each violation. So keep every statement you send and the customer's reply to it, not just the table.

How do I get a customer statement from WhatsApp?

The hard part of a manual statement is not the table but gathering the transactions: invoices in one program, payments in the bank statement, cash in the cashier's book, returns in the sales rep's messages. One statement takes half an hour and sometimes comes out incomplete.

In Fahim, the invoice, the payment and the return are each recorded by a WhatsApp text or voice message from the employee involved, so the transactions sit in one place from the start. When a customer asks about their balance, you type: "Statement for Al Rukn Est. from 1 October", and the report arrives in Arabic in the same chat. If you have an older statement in an Excel file, send it and the system reads its data. If you want statements issued in your business's own layout and sent to customers at the start of each month, request it by message as an addition to your system, and nothing goes to a customer without your approval. You will find invoices and payments together in WhatsApp invoicing, with alerts on overdue receivables before they grow.

What mistakes ruin a statement of account?

  • A statement with no opening balance, so the debt seems to appear out of nowhere.
  • Transactions without document numbers, so the customer cannot match them with their papers.
  • A payment posted to the wrong customer because two company names look alike.
  • A return the warehouse received but nobody recorded, so the customer is billed for goods they sent back.
  • A statement sent months after the transactions, when the dispute is harder because nobody remembers the details.

Frequently asked questions

Does a statement of account replace invoices and receipt vouchers?

No. The statement is a summary that relies on those documents and lists their numbers, and in a dispute both sides go back to the invoice and voucher themselves. So keep every document, as we explain in our receipt voucher template.

What do I do if the customer disputes the balance?

Ask them for the document number they disagree with, not the total. Then compare line by line until you find the missing or duplicated transaction, and correct it with a new document, such as a credit note or a late-recorded receipt, rather than editing an old one.

Should I send the statement as a PDF or an Excel file?

Send customers a PDF, because it is hard to edit and looks the same on any phone. Keep the Excel file for internal use, when you need to filter or review the transactions.

How often should I send a statement to a credit customer?

At least once a month to every customer with a balance, plus once more before any payment demand or before stopping credit sales. A customer who sees their balance every month is rarely surprised by the amount.

The bottom line: a customer statement of account needs a header with the name and period, and a 7-column table: date, transaction type, document number, description, debit, credit and balance. Balance = opening balance + invoices − payments and returns. Send it at the start of every month, and keep the statement and the customer's reply for at least 10 years.
