A sound receipt voucher is a paper or message proving you received a specific amount from a specific person for a specific reason, and it needs 7 fields to hold up in a dispute: a serial number, the date, the payer's name, the amount in figures and words, the payment method, the reason with the invoice number, and the receiver's name and signature. Under Article 55 of the Saudi Law of Evidence, a digital receipt sent over WhatsApp carries the same weight as writing, and the Commercial Books Law requires you to keep receipts for at least 10 years. Below are the 7 fields with an example, when a digital receipt is enough, and how to issue one from your phone in a minute.
What is a receipt voucher and when do I need one?
A receipt voucher is a document your business issues whenever money comes in: a customer's cash payment, a bank transfer, a booking deposit, or an instalment on a credit sale. It is not an invoice. The invoice proves the customer owes you for goods or a service; the receipt voucher proves they paid that debt or part of it. Its opposite is the payment voucher, which you issue when money goes out to a supplier or an employee.
You need one every time payment and invoice do not happen at the same moment. A building materials shop selling on credit and collecting over several weeks, a property office collecting monthly rent, a workshop taking a deposit before starting a job: each needs a document for every payment, or the customer's remaining balance becomes one person's word against another's.
What fields should a receipt voucher template include?
Neither of the two laws cited in this article prescribes a fixed form for a receipt voucher, but a voucher's value as evidence comes from how clear its details are. These 7 fields cover what is usually asked in any dispute:
- A serial number that never repeats: for example R-2026-0417. The sequence exposes a missing or cancelled voucher and stops two documents carrying the same number.
- The date received: the day the money actually came in, not the day you wrote the voucher if you wrote it later.
- The payer's name: as it appears on the invoice or contract. If someone paid on the customer's behalf, write both names.
- The amount in figures and words: "SAR 4,500, four thousand five hundred riyals". Writing it in words stops anyone adding a zero or changing a digit.
- The payment method: cash, bank transfer with the reference number, cheque with its number and bank, or card.
- The reason for payment: "Payment towards invoice 1288" or "November rent for shop 3", with the remaining balance if the payment is partial.
- The receiver's name and signature: the employee who actually took the money, plus the business stamp if you have one.
Here is a complete voucher for a partial payment:
| Field | Example |
|---|---|
| Voucher number | R-2026-0417 |
| Date | 25 October 2026 |
| Received from | Al-Rukn Contracting Est. |
| Amount | SAR 4,500 (four thousand five hundred riyals) |
| Method | Bank transfer, reference 88312 |
| For | Second payment on invoice 1288 of SAR 12,000; SAR 3,500 remaining |
| Received by | The company accountant, signed |
Is a WhatsApp receipt valid proof of payment?
In principle, yes. The Law of Evidence, published by the Bureau of Experts at the Council of Ministers, defines digital evidence in Article 53 as any evidence derived from data created, issued, received or stored by digital means that can be retrieved. Article 54 lists digital documents, digital correspondence and means of communication among its forms. Article 55 then states that proof by digital evidence has the same standing as proof in writing.
Not every digital receipt carries the same weight, though. Article 57 makes unofficial digital evidence binding on the parties in 3 cases, one being that it comes from a digital channel named in the contract. Otherwise, Article 59 gives it the weight of an ordinary private document. So state in your contract, or at the foot of your invoice, that receipts are issued by WhatsApp from the business's registered number. That makes the channel itself part of the agreement.
Watch the amount threshold as well. Article 66 says any transaction worth more than SAR 100,000 must be proven in writing and witness testimony is not accepted for it, and that for partial payments the value of the original obligation is what counts. So a SAR 20,000 instalment on a SAR 300,000 contract needs a written or digital receipt; an employee who saw the handover cannot vouch for it. The law was issued on 26/5/1443 AH (30 December 2021) and took effect 180 days after publication. This is a general reading of the text; consult a lawyer in any live dispute.
How long should I keep receipt vouchers?
Article 6 of the Commercial Books Law requires a trader to keep exact copies of all correspondence and documents relating to the business, both outgoing and incoming, in an orderly way. Article 8 sets the retention period at no less than ten years, and Article 12 sets a fine of SAR 5,000 to SAR 50,000 for each violation. A paper receipt book in the shop drawer will rarely last ten years. A digital voucher stored in a system stays put and can be found by number or name.
How do I issue a receipt voucher from WhatsApp in a minute?
The trouble with a paper book is not the writing but what comes after: forgetting to post the payment to the customer's account, a voucher with no invoice number, a photo of the voucher that lives only on the sales rep's phone. The fix is to issue the voucher and post the payment in a single step.
In Fahim, the employee who took the money sends one WhatsApp message, typed or voice, such as: "Received 4,500 by transfer from Al-Rukn, payment on invoice 1288, reference 88312." The system posts the payment against the invoice, works out the balance and sends the business owner a summary. If you want a voucher in your own layout and numbering to send to the customer, ask for it by message as an addition to your system; nothing goes to the customer without your approval. Invoices and payments sit together in WhatsApp invoicing, and overdue balances raise an alert before they grow, as covered in our collections guide.
What mistakes weaken a receipt voucher?
- A voucher with no reason, so nobody knows which invoice was paid when the customer has several.
- An amount in figures only, which is easy to alter or misread.
- Vouchers with no sequence, or two books with the same numbers in two branches.
- Taking cash without a voucher because the customer is "well known", then arguing about the balance months later.
Frequently asked questions
Does a receipt voucher replace the invoice?
No. The invoice proves the sale and the amount owed; the receipt voucher proves payment. You need both, linked by the invoice number written on the voucher.
Is a bank transfer enough without a receipt voucher?
The bank notice proves the money moved, but it does not always say which invoice or which month it covers. The receipt voucher fills that gap and records the remaining balance, which closes the door on arguments about how the payment was allocated.
What do I do if I make a mistake on a receipt voucher?
Do not erase or overwrite it. Mark it "cancelled" with the reason, keep it in the sequence, and issue a new voucher with a new number. A gap in the sequence raises more questions than a cancelled voucher does.
Does the customer have to sign the receipt voucher?
The receiver signs it, because the receiver is the one acknowledging the money. The customer gets a copy, and you keep yours with the invoice or in the system.
Summary: a receipt voucher needs 7 fields: number, date, payer, amount in figures and words, method, reason and receiver. A WhatsApp receipt counts as writing for evidence purposes, and it is stronger when your contract names that channel. Keep vouchers for at least 10 years, and make issuing the voucher and posting the payment one step.
