Used Car Showroom: 7 Messages to Track Car Profit
A used car showroom can leak profit in three places the ledger never shows: reconditioning costs spread across loose receipts instead of charged to the car, a car that sat on the lot for months holding up capital, and a deposit or finance payment nobody chased. All three can be controlled from WhatsApp with seven short messages tagged with the car's chassis number, sent from a phone, from purchase to the last riyal collected. For anyone looking for car showroom management or dealership accounting software that tracks profit car by car, the method fits.
The rule: every car is its own file
Every car is a separate deal, so the record is the car itself, keyed by its chassis number, which never changes. Six fields:
- Model, year, colour and odometer reading at purchase.
- Purchase price, and the seller: individual, auction or company.
- Reconditioning costs, line by line.
- Asking price and the lowest acceptable price.
- Any deposit and hold period.
- Sale price, payment method and collection status.
That is the idea behind tracking stock from WhatsApp, except each item is one of a kind. Request these fields, or others like the inspection result, in Arabic; Fahim shows the change and applies it after your approval, without touching past data.
Seven messages from purchase to final payment
1. The car enters the showroom
The employee sends a photo of the purchase contract or invoice; the system extracts the data, and the employee adds what is missing, such as chassis number and odometer. The car then shows in stock with its entry date, from which its days on the lot are counted.
2. Reconditioning charged to the car
Every riyal spent on a car is sent with its chassis number and a receipt photo: servicing, tyres, polishing, minor dent repair, inspection. An Arabic voice message from the mechanic is enough. This stops a common error: workshop costs charged to the whole showroom inflate some cars' profit. A hypothetical example, figures before VAT: a car bought for 42,000 riyals gets 600 of servicing, 900 for tyres and 350 for polishing, so it cost 43,850. Sold for 47,500, it earns 3,650 before overheads, not the 5,500 the price gap suggests.
3. Pricing, and what the salesperson sees
The showroom owner sends the asking price and floor. Because each role has its own permissions, the salesperson sees both but not the purchase price or costs. The salesperson refers any offer below the floor to you to decide.
4. Cars sold for their owners
Some showrooms display individuals' cars for a commission. These enter with their own message: owner, agreed floor, commission (amount or percentage), and the date the car and key arrived. They stay outside your stock, so each share is clear at sale.
5. Deposits and holds
A deposit is logged with the buyer's name, amount, method and hold period, and the hold is recorded. Moeen, Fahim's personal assistant, reminds you before the hold ends, so you call the buyer or put the car back on sale.
6. The sale and the invoice
The employee sends the sale price and payment method: cash, transfer or finance company. The invoice is issued from the car's record, so invoicing from WhatsApp is a step of the sale, not extra work. On tax: since 1 July 2023 the Zakat, Tax and Customs Authority has offered an optional method of charging VAT on the profit margin of qualified used cars, the difference between purchase and sale price, instead of the full amount. Conditions include a car registered in the Kingdom, classified as qualified by the Authority and bought without deductible input VAT, a VAT-registered showroom licensed to trade cars, the Authority's approval through its e-service, and meeting invoice and record-keeping requirements. The official reference is zatca.gov.sa; check it with your accountant first. Your accountant finds every car's purchase price on record from the first message.
7. Ownership transfer and collection
If a finance company pays, the amount stays due until it arrives. The employee sends a message at each step: ownership transferred, car handed over, money received. Overdue balances trigger an alert. For consignment cars, ask for the owner's share after your commission, then pay it and close the file.
Memory versus structured messages
| Situation | Memory and a notebook | Structured messages |
|---|---|---|
| Prep costs | Charged to the showroom | Charged to the car |
| Profit per car | Sale minus purchase | After all its costs |
| Deposits | A slip in a drawer | A hold with a reminder |
| Finance payments | Whoever sold remembers | A balance until paid |
Four numbers after a month
- Average days on the lot, per model and price band.
- Average reconditioning cost per model and purchase source.
- Actual profit per car after its costs.
- Open deposits and unpaid finance amounts.
Ask in Arabic, say, how many cars have passed 60 days on the lot, and the report comes instantly.
How to start this week
- Count the cars on the lot and send each one's chassis number, purchase price and entry date, or an Excel file.
- Have the mechanic send every receipt with the chassis number.
- Set a floor for every car before display.
- Take no deposit without a written hold period.
The takeaway: a used car showroom's profit is counted car by car, not month by month. Seven short messages give every car one file, showing which cars made money and which hold up your capital.
